December 5, 2000

The Association Archives shall be maintained by the Secretary. They shall be open and readily available to all Association members as outlined in the Association Constitution.

They shall include the following:

  1. Association Constitution and Bylaws.
  2. Association Standards, Practices and Procedures.
  3. Minutes of all official Association meetings as outlined in the Association Constitution.
  4. Treasurer's Reports (as a part of the business meeting minutes).
  5. Official notices and public announcements.
  6. Membership Roster, including name, address, phone number and seniority dates.
  7. Official business documents (tax, rent, insurance, etc.).
  8. Official correspondence (letters, announcements, notices).
  9. Fund raising activities.
  10. Association history, artifacts, oddities and memoirs.
  11. Member check-in and check-out log book and guest book.
  12. Association library.
  13. Miscellaneous items such as local restaurant menus, transportation schedules, calendars, etc. that the Secretary deems worth of saving.

E.   REIMBURSEMENT POLICY

December 5, 2000

  1. Association related purchased items shall be reimbursed in a timely fashion by the Association Treasurer. The member shall fill out a standard expense form and submit it to the Treasurer. Accepted items shall be Association related, reasonable and prudent.

  2. Expenditures under $25 shall be left to the individual Regular Board or Senior Regular Board member's discretion. Other membership classes shall be approved by the Executive Committee.

  3. Expenditures over $25 shall be approved by the Executive Board.

  4. Expenditures over $100 shall be approved by a majority vote of the membership at a duly called regular or special business meeting.

  5. Structure kits and the like shall be reimbursed upon completion/ installation of the model unless otherwise directed by the Executive Committee.

  6. Membership labor is voluntary, considered gratis and shall not be reimbursed except in extraordinary circumstances that are pre-approved by a unanimous vote of all the Association's voting members as a part of the original proposal.

  7. Upon payment the item becomes the sole property of the Association.

  8. The Standard Expense Form shall be drafted by the Treasurer and approved by the Executive Committee.

F.   COOPERATIVE PURCHASING

December 5, 2000

  1. From time to time the Association may organize cooperative purchasing arrangements.

  2. Costs to members shall reflect all charges to the Association so as not to require any funds from the Association treasury.

  3. Members in regular standing on one of the membership boards are the only ones who may purchase goods. It is understood that all purchases are for personal or Association use.

  4. Purchases for commercial resale are not allowed since they jeopardize our future access to wholesale, manufacturer and other commercial sources.

  5. Payment is due within seven (7) days of notification that the goods are on hand even if the member is unable to pick them up. Failure to make prompt payment will release goods to others and may forfeit the privilege of future cooperative purchasing arrangements.

  6. The Association makes no warranty concerning the goods purchased and assumes no responsibility for returns or claims.
